Privacy Policy

Hearline is a service operated by Verdiex (EIN 42 2869358), based in Boca Raton, Florida. This policy explains how we handle the information we receive when you call us, when you book a discovery call, and when you become a customer of our AI voice receptionist service.
1. Information we collect
1.1 When you call our business phone number
If you dial our published business number (561 916 4525), we collect:
- Your caller ID (the phone number that initiated the call)
- An audio recording of the call
- An automated written transcript of the call
- Any details you choose to share during the conversation (name, address, service needed, scheduling preferences)
1.2 When you book a discovery call
Our booking flow is hosted by Cal.com. When you schedule a meeting we collect:
- Your name and email address
- Optional phone number and notes you provide
- Your selected meeting time and time zone
1.3 When you become a paying customer
When you subscribe to Hearline, we collect through our payment processor (Stripe) and intake process:
- Business name, owner name, business address
- Billing email and billing address (Stripe stores card data, not Hearline)
- Your business phone number and the cell number where lead alerts should go
- Configuration data you provide for your AI receptionist (greeting wording, hours, services offered, words she should never say)
- Call data from your customers calling your forwarded number (caller IDs, recordings, transcripts, lead summaries)
2. How we use your information
We use the information above to:
- Operate the AI voice receptionist that answers your customers' calls
- Send you SMS notifications when your AI captures a lead
- Send you billing receipts and service updates via email
- Send a confirmation SMS to a caller who first dialed our business number, containing a link to schedule a follow up meeting (this only happens to numbers that initiated contact with us)
- Improve our AI's accuracy by reviewing failed or low quality call handling
3. SMS messaging program
3.1 Opt in
By calling our business number you may receive a single follow up SMS containing a booking link. The audio recording of your call serves as evidence of your initiation of contact. You may opt out at any time.
If you are a paying customer, you opt in to receive lead notification SMS during the verbal intake process on the closing call. Your cell number is captured directly from you and used only for delivering captured leads.
3.2 Opt out
You can opt out of SMS at any time by replying STOP to any message. We will confirm your opt out with one final SMS and then send no further messages. For help, reply HELP.
3.3 Frequency and charges
Message frequency varies based on call activity. Standard message and data rates from your mobile carrier may apply.
4. How we share information
We share information only with the service providers we need to deliver Hearline:
- Twilio for telephony and SMS delivery
- Vapi for AI voice agent infrastructure
- Anthropic Claude for AI natural language processing
- Supabase for secure database storage
- Clerk for user authentication on our dashboard
- Stripe for payment processing
- Cal.com for appointment booking
- Resend for transactional email delivery
We do not sell your information. We do not share data with advertising networks. We do not allow third parties to use our data for marketing purposes.
5. Data retention
Call recordings and transcripts are retained for as long as your subscription is active, plus 90 days after cancellation, for support and dispute resolution purposes. After 90 days they are permanently deleted from our database.
If you call our business line and never become a customer, your call data is deleted after 30 days unless we exchange follow up communications.
6. Your rights
You may request at any time to:
- See what personal data we hold about you
- Correct inaccurate data
- Delete your data (subject to legal record keeping obligations)
- Stop receiving SMS (reply STOP) or email (use the unsubscribe link)
- Export your data in a portable format

7. Security
All data is transmitted over TLS encrypted connections. Database access is restricted to authorized service accounts with row level security policies. Card information is processed by Stripe and never touches our servers.
8. Children
Hearline is a business to business service for licensed home services companies. We do not knowingly collect data about anyone under 18 years old.
9. Changes to this policy
We may update this policy as the service evolves. Material changes will be announced via email to active customers. The current version is always available at this URL.
